Stewards
- Being available, visible, and answering queries. Directing attendees around the venue and helping them to get to the right place.
- Numbers dependent on number of staff provided by Barbican.
- Better suited to students/others with less interest in conference itself.
Session runners
- Ensuring the smooth running of sessions, facilitating questions. Social media? AV?
- 1 per room per session; possibly two if the AV/social media role to be separated.
- AV/social media requires some digital literacy; session moderation requires some assertiveness.
Runners
- Running errands and general tasks and being available as required. Some flexibility will be needed.
- 3 or 4 on-hand per shift? Perhaps more during busy times? Have people available to assist if asked?
- Would be better suited to somebody local and less interested in the conference itself.
Accommodation
- People to be on-hand to deal with any issues at the hotels and ensure that everybody is happy; assisting attendees to get from the hotel to the Barbican if necessary.
- 1 or 2 per hotel.
- Would suit somebody relatively outgoing; obviously needs to be somebody based in the hotel during (preferably for the duration of) Wikimania.
Welcoming parties
- Meeting people at airports or other entry points (by request) and ensuring they get to the Barbican or to their accommodation safely.
- Would suit somebody within easy reach of Paddington (for LHR)/Victoria (for GTW) in the days before the conference. Preferably somebody somewhat outgoing; small groups (2 or 3) better than individuals.
- Numbers dependant on demand, but would be good to have a pool of a dozen or so based in London during the run-up who could be despatched as necessary (deadline for requests for assistance; should know how many requests we have closer to time).
Registration desk
- Checking names of attendees against the list and issuing badges/goody bags/other merch and information.
- Wikimedians welcome to help out but Wikimedia skills not a prerequisite. Minimal experience required – some technical ability to work printer(?)/computer, some people skills (2nd line support for tricky customers).
- Numbers dependent on size of desk and traffic constraints (process for issuing badges? Pre-printed or printed on-demand?). As many as possible during the peak (Friday morning, possibly Wednesday/Saturday morning); small numbers required at other times (1 or 2, bolstered with extras if unexpectedly high demand).
