Donation and grant acceptance

This document details the process and policy for accepting and acknowledging donations received by Wikimedia UK. This policy may be adjusted by the Board separately from the Donor privacy policy.
Unrestricted donations
- Donations over £25 will be acknowledged via a personalised postal letter where the donors' address is known, or a personalised email where the physical address is not known or the donor has expressed a preference for email correspondence only.
- Donations over £250 will also be acknowledged via a copy of the next annual report issued after their donation
- Donations over £1,000 should be run past the board for comment prior to acceptance. They will be acknowledged ~24 hours afterwards via a telephone call (working hours?), or a postal letter or email depending on the donor's preferred communication method.
- Donations over £5,000 need board approval prior to acceptance. They will be acknowledged ~24 hours afterwards via a telephone call (working hours?), or a postal letter or email depending on the donor's preferred communication method.
- Donations over £50,000 will be acknowledged via a personal visit by a WMUK trustee or the Chief Exec.
- Unless explicitly specified otherwise, donations will be treated as being unrestricted donations and will be used to further WMUK's Objects.
Restricted donations
- Restricted donations for less than £500 will not normally be accepted.
- All restricted donations equal to, or in excess of, £500 will be subject to Board approval prior to acceptance.
Grants
- All UK grants given to support Wikimedia projects should be processed via Wikimedia UK, and hence follow our Finance Policy
- The acceptance of a UK grant is subject to Board approval.
Organisational donations
- Organisational donations (as opposed to personal donations) will be subject to Board approval for all donations over £100.
- Organisations will be evaluated based on their ethical and open source principles, in particular to ensure that they are aligned with WMUK's principles, prior to acceptance of the donations.
Gifts in kind
- Gifts in kind will only be accepted where the current market value of the goods exceeds the cost of ethically disposing of the goods.
- All gifts in kind are subject to the approval of the Chief Executive.
- Gifts in kind that exceed a net value of £1,000 will be subject to Board approval.
Security gifts
- All gifts in terms of stocks and bonds require the approval of the Chief Exec prior to the acceptance of receipt.
- Such gifts should follow the policy for unrestricted and redistricted donations as appropriate.
Pledges
- Donors may commit to future gifts ("pledges"), which WMUK will generally treat as gifts of cash. A donor who commits to a future gift of £10,000 or more may be required to sign a WMUK pledge agreement.
Bequests
- All donations via bequests require Board approval.
Other donations
- Any other donations require board approval.
